Q&A
Q.
What is a Virtual Executive Assistant, and how does it differ from hiring an in-house Executive Assistant?
A.
A Virtual Executive Assistant (VEA) is a professional who provides administrative, executive, and other support services remotely, allowing clients to focus on high-priority tasks. Unlike an in-house Executive Assistant, a VEA does not require office space or physical presence. This offers flexibility, cost-efficiency, and access to specialised skills without the overhead associated with in-house staff. A VEA can work on a contract basis, providing services as needed, without long-term commitments.
Q.
Who are your typical clients?
A.
I work with a diverse range of clients, including small businesses, corporate enterprises (both national and global), executives, managing directors, business leaders, entrepreneurs, and high-net-worth individuals (HNWIs). My services are tailored to support those who require administrative support, project management, and personal assistance, and who value efficiency, professionalism, and confidentiality. My services are also beneficial for clients who need a right-hand support system to help them manage both personal and business responsibilities.
Q.
If I am considering working with you as my Virtual Executive Assistant, what is the process to get started?
A.
The process begins with an initial consultation call where we will discuss your needs, challenges, and the scope of support you require. After this, I will send you a proposal outlining the services, pricing, and terms. Once we agree on the details, we will move forward with issuing a contract and get underway with the onboarding process to ensure smooth collaboration and that your goals are met.
Q.
A.
I only need a small amount of hours per month, would that be OK?
Yes, I offer monthly rolling packages starting from 10 hours per month, with the flexibility to increase up to 40+ hours per month. While you can request the same hours for the following month, please note this isn't guaranteed. If you require consistent hours over an extended period, a retainer package would be the best option for you.

What platforms do you operate on?
I primarily work with Microsoft 365 and Google Workspace. However, as I operate virtually, I am adaptable and can access and work within any platform you prefer.

A.
What data protection measures do you have in place to ensure the security of my information?
I take data security very seriously and ensure that all client information is handled with the utmost care. I use secure communication platforms, encrypted file-sharing services, and adhere to strict privacy protocols. In addition to being ICO registered, I am also compliant with GDPR regulations to ensure all personal and business data is protected. Additionally, any sensitive documents or information are stored in secure, password-protected environments.

Since you work with multiple clients, how can I be sure my tasks and projects will be prioritised and completed?
I take a highly organised and transparent approach to managing tasks across multiple clients. I use project management tools and detailed timelines to ensure that your work is prioritised and deadlines are met. My focus is on quality service, and I will work with you to understand your most urgent needs. You will also have regular updates to ensure you are always informed of progress.
Q.
A.
What is the preferred method of communication between us?
Communication can be tailored to your preference. I am available via email, phone, and video calls, with the option of secure messaging platforms for quick updates. I will work with you to establish a communication schedule that fits your needs, whether you prefer daily check-ins or weekly updates. The aim is to ensure effective and timely communication without overwhelming you.
Q.
A.
Will you be handling all tasks yourself, or do you outsource any work?
I handle the majority of tasks myself to ensure a consistent and high standard of service. However, for specialised tasks outside my core skill set, such as highly technical work, I may engage with trusted specialists. For the more complex or luxury-end travel requirements, I do outsource my travel, which I entrust to an exceptional travel agent I work closely with. This partnership brings significant benefits, including cost savings and 24/7 support while you are on the road. As always, I will seek your approval before outsourcing any work and ensure that all partners adhere to the same high standards you expect from me.

A.
What is the typical turnaround time for tasks or projects?
Turnaround times depend on the size and complexity of the task, which we will determine during our consultation call. If a task falls outside the agreed scope and requires urgent attention, I can prioritise it with a 24-hour or faster turnaround for an additional fee. For larger projects or tasks requiring coordination, I will provide a clear timeline upfront. I always prioritise time-sensitive requests and will work closely with you to ensure deadlines are met efficiently.
Q.
A.
How do you handle payment, and what are your credit terms?
For monthly rolling contracts, payment is required upfront before services commence. For retainer packages, which have a minimum commitment of three months, the first three months' payment is due upfront. Any additional time beyond this period will be invoiced the week before the next month begins, with a five-day credit term. Preferred payment method is via bank transfer; however, online and credit card payments are also accepted, though fees may apply.

While most of my needs can be managed remotely, I may require you on-site at times. Is that something you can accommodate?
Yes, I can be on-site for meetings when required. However, on-site support is charged at an additional rate. If this is discussed during our consultation, I will include the fee accordingly within my proposal. Additionally, if I am managing an event that requires my presence on-site, the rate will be incorporated into the package outlined in the proposal.

Pricing will be provided in the proposal once your specific requirements have been identified.
